Automatic Staff Shift Assignment
The e-tivity® automatic staff assignment module is used to make decisions in the automatic assignment of personnel to shifts. Decisions can be based on such simple rules as staff availability, competency, maximum shift length, minimum break between shifts etc or more complex rules based around employment rules of minors. Users set up the assignment rules and the base rosters and then sit back and let the assignment module do the rest.

Budgeting
The e-tivity® Budgeting module allows different areas of an organisation to set cost budgets for staff labour and monitor these in real time as changes are made to the roster. This module works hand in hand with the various rostering modules and rule interpretation and allows managers to be proactive in managing staff costs as issues occur and not after payroll has been run, sometimes weeks later.


Business Alerts and Audits
The e-tivity® Business Alerts and Audits module provides the client with the ability to audit key activities within e-tivity® and trace this back to a particular user or system process. Alerts can also be set up to automate particular processes such as housekeeping or rostering functions and can also be used to generate notifications for items such as timesheets that require approval


Employee Kiosk/Self Service
The e-tivity® Employee Kiosk/Self Service module is browser based and allows authorised employees to:
  • access their rosters and accept or reject shifts
  • create timesheets, allocate times to specific tasks and submit the timesheet for approval
  • submit availability information including leave requests
  • make basic changes to their personal details.
This module is also used by managers to:
  • review, edit, approve or reject timesheet information before submitting to payroll
  • submit approved timesheets to payroll for processing
  • view, approve or reject leave requests and availability information.
Event Rostering/Scheduling
e-tivity® Event Rostering enables the building of event staffing profiles based on the resourcing needs and the varying configurations for those events.

e-tivity Event Rostering increases productivity because if there are repetitive events, managers can build, maintain and reuse both actual shifts and/or staffing requirements. Also existing event profiles can be re-used and updated with different start and/or finish times and events can be scheduled as a one-off or as recurring.

If e-tivity Event Rostering is combined with Roster Publication and also Shift Acceptance in the Kiosk a company can publish assigned event shifts onto the Web. Employees are then able to login to view their assigned shifts and can reject or accept the shifts. This dramatically reduces the time it takes to manage the roster. Once the shifts have been accepted, the only tasks to do are to re-assign shifts that have been rejected and to follow-up those employees who have not accepted their shifts. If event staff are currently calling in for shifts then event operators are able to very quickly achieve an ROI on their e-tivity investment.

Fixed Shift Rostering/Scheduling
The e-tivity® Fixed Shift Rostering/Scheduling module allows fixed roster profiles to be set up and either assigned to individual employees, groups of employees, or left unassigned. These fixed shift profiles once set up can be used over and over again each week. Combining Fixed Shift scheduling and the Audit and Alerts module allows you to set up an automated task which will create the rosters each week from the fixed shift profile without any user interaction. The fixed shift module also allows users to set up rotating roster profiles where an employee or group of employees work shift work or similar and where their shifts change based on a set rotation each week, fortnight, month etc.

Job Order and Billing
e-tivity® Job Order and Billing enables users in a number of specific industry groups to manage both the scheduling and billing of staffing requirements. This requirement may be the provisioning and billing of services or off-site based clients. It may also be used for the allocation and billing of employees provided to an external client via an agency function. Another use may be for the allocation of tasks to internal departments and or internal clients that requires the raising of either an internal or external invoice.

e-tivity Job Order and Billing utilises the powerful e-tivity rule based calculation engine to process the billing of jobs and calculate the amount to be charged for each client. It automates invoicing, despatching them in a timely manner and with the confidence that all work for the job has been billed.

Labour Booking
The e-tivity® Labour Booking module provides a Web based facility to log clocked time against defined projects, approve project time and the export of this information to 3rd party software. It utilises external project data in XML format and provides the facility to allocate time clocked (via Time and Attendance and Labour booking screens) to individual projects. This information then undergoes an approval process where designated approvers approve, reject or amend allocated time. Once approved this information is then exported in XML file format for import into 3rd party software product.

Late Changes
e-tivity® Late Changes helps managers make cost effective decisions when dealing with last minute or late changes to their schedules. Upon entering the late changes, the software quickly provides the availability of employees who are available to work the selected shift and who have the competency required. It also provides the costing of each replacement resource versus the budgeted resource.

e-tivity Late Changes tracks employee behaviour and productivity to assist in the management of their performance. Auditable reports on the late changes that have been made and the reasons for them tracks attendance and provides information on the resources attached to a shift.

On Cost Provisioning
The e-tivity® On Cost Provisioning module provides the ability to show costings in rostering, time and attendance and reporting with a provision for On Costs included for items such as payroll tax so that the true cost of staff labour can be viewed. These On Costs are not transferred during payroll processing as they are not physical payments but rather a provision for payments at a later date

Paid Rate
The e-tivity® Paid Rate module processes numerous rules using the same "engine" as the Rule Interpretation module, to establish the base hourly rate to be applied to an employee’s shift. This particular functionality is critical in many industries where the base hourly rate varies dependent on a myriad of conditions such as the job or task being done, the grade or location being worked. This module then works alongside the Rule Interpretation module to calculate accurate payment information based on work rules. This information is used both by the various Rostering modules when displaying shift costings and also Time and Attendance when calculating the costs for export to payroll.

Smart Shift Builder
The e-tivity® Smart Shift Builder module works in conjunction with Volume Rostering and automatically builds shifts from individual staffing needs identified from projected volume.

Statistics/KPI
The e-tivity® Key Performance Indicator (KPI) is a must for all Retail organisations wanting to drive sales performance through effective rostering. Based upon Harry J Friedman’s proven Project Gold Star sales methodology, e-tivity® KPI automatically calculates the sales targets staff need to achieve based on their individual working roster and estimated sales volume. e-tivity KPI will give the rostering manager all the information needed to manage staff performance against budgeted projections.

Managers are able to assign, for their Organisational Unit (Store, Department etc), a projected sales volume of what they need to sell to make budget. e-tivity KPI will then use this projection to produce sales targets for each individual to achieve.


Telephony Time Capture
The e-tivity® Telephony module has dual functionality – it serves both as a Time and Attendance time collection device and as a method of delivering messages to employees in remote locations. The module utilises computer based telephony cards to integrate with the public telephone infrastructure. The employee dials a central number and following prompts, ‘logs in’ thus recording the arrival or departure time and at the same time hearing any messages.

Time and Attendance
e-tivity® Time and Attendance is an automated time capturing and payment system developed to work in conjunction with e-tivity® Work Rule Interpreter, e-tivity® Paid Rate and e-tivity® Rostering modules. It reduces the time and labour involved in the payroll process by automatically:
  • Collecting employee attendance data;
  • Detecting employee attendance variations (overtime, non-rostered hours worked, etc.) and other exceptions;
  • Calculating the total employee hours worked and with the work rule interpreter, accurately costing the results before passing the data to the payroll system; and
  • Calculating the payments and allowances for each employee and applying the cost of their labour to the specified cost centre or job number.
  • The entire process can be automated or can remain manual depending on organisational requirements and defined business processes.
e-tivity Time and Attendance provides the convenience of multiple data collection methods from electronic time clocks (such as our EziTime Clocks) or remote devices such as telephony and web timesheets. If the e-tivity Work Rule Interpreter is also being used then the time spent distributing, collecting and analysing timesheets can be eliminated altogether allowing payroll staff to concentrate on more productive work.
 

Volume Rostering/Scheduling
The e-tivity® Volume Rostering/Scheduling module enables you to optimise your schedules based on the volume fluctuations of your business thus realising greater efficiency and productivity. Scheduling the right number of people at the right time doing the right task has always been a challenge to those industries with fluctuating staffing needs due to the variation of activity during any one day.

Work Rule Interpreter
e-tivity® Work Rule Interpreter utilises a powerful and unique rules based engine to apply the specific work rules (Awards) for each employee to timesheets. It accurately calculates the cost of the roster or the actual worked hours.

Data entry of information into the payroll system is eliminated, as are many errors. Payroll processing time is considerably reduced with automatic calculation of work rules such as public holidays, overtime, premium rates, sick leave and rostered days off. The consistent results generated from the work rule engine means that there are less payroll queries and adjustments.

The information generated from this module is either used with e-tivity Rostering to provide costing data of a schedule or with e-tivity Time and Attendance to calculate the actual time worked for direct posting into the payroll system.
